Terms & Conditions — Data and Video Use
Last updated: 1 November 2026
These terms apply to everyone who registers for or takes part in the Motus Poomsae Online Invitational 2026 (the “Event”), organised by Olympico and scored with the Motus Engine. By submitting a registration the head coach accepts these terms for themself, their club and every athlete registered.
1. Who is responsible
Olympico operates event.motustkd.com and the Motus Engine and is responsible for the data you submit.
The head coach confirms they are authorised by every athlete — and, for athletes under 18, by a parent or legal guardian — to register them and accept these terms on their behalf.
2. Data we collect
Coach: name, email, WhatsApp number, club and province.
Athletes: name, NIK, place and date of birth, gender, belt, height, weight, email, photo, chosen categories and age groups.
Videos: the performance recordings you upload, including image, sound and file metadata.
Results: movement readings, skeleton/pose data, Motus Engine scores, judge scores and rankings derived from the videos.
3. How we use it for the Event
To check eligibility (WNI status, age group, category limits), run the competition, score performances with the Motus Engine and judging panel, publish results and issue e-certificates and prizes.
To contact the coach and athletes about the Event, including corrections, disqualifications and announcements.
4. Ownership of your videos
You and your athletes keep ownership of the videos. We do not claim copyright in your performances.
You confirm you have the right to upload each video and that it does not include other people, music or material you are not allowed to share.
5. Licence to Olympico
You grant Olympico a non-exclusive, royalty-free, worldwide licence to store, copy, process, analyse, display and stream the videos and results for running the Event and its official replays and scoreboards.
Results pages, scoreboards and replays — including athlete name, club, photo, video clips and scores — may be shown publicly and shared on Olympico and Motus channels. NIK, email and phone numbers are never published.
6. Use of videos to improve the Motus Engine (learning)
Uploaded videos and the pose and movement data extracted from them may be used to train, test and improve the Motus Engine — for example to recognise stances, techniques and timing more accurately for future athletes.
For learning we use the video and movement data, not NIK, email or phone numbers. Where possible, data used for learning is separated from the athlete's identity.
Learning never changes a score that has already been officially published for this Event.
You may withdraw consent for learning at any time by emailing the organiser with the registration code; we will stop using that athlete's videos for future training. Models already trained cannot be fully reversed, but no new training will use the withdrawn videos.
7. Minors
Many athletes are under 18. The head coach confirms a parent or guardian has agreed to the registration, the public display of results, and the learning use in section 6.
A parent or guardian may contact us at any time to correct, remove or withdraw their child's data.
8. Sharing
We do not sell personal data. We share it only with the judging panel, service providers who host and process data for us (cloud storage, email, AI processing) under confidentiality obligations, and authorities when required by law.
Data may be processed on servers outside Indonesia with appropriate safeguards.
9. Retention
Registration data is kept for the Event and up to 3 years afterwards for results history, certificates and disputes.
Videos and movement data are kept for as long as needed for replays and learning, unless you ask us to delete them. Published results and rankings remain as part of the competition record.
10. Your rights
Under Indonesia's Personal Data Protection Law (UU No. 27/2022) you may request access, correction, deletion, restriction or a copy of your data, and withdraw consent. Requests are answered within a reasonable time.
Deleting data before results are final may mean the entry can no longer be scored.
11. Video rules and fair play
Videos must be the athlete's own, unedited performance, recorded under the published video rules. Edited, re-used or falsified videos and false data (including NIK or birth date) lead to disqualification.
The decision of the judging panel, assisted by the Motus Engine, is final.
12. Security
We use encryption in transit, access controls and private storage for videos and personal data. No online service is perfectly secure; please tell us immediately if you suspect misuse.
13. Changes and contact
We may update these terms; the date above shows the latest version and material changes will be announced on the Event page.
Questions or requests: contact the organiser through event.motustkd.com with your registration code.
